1. Data controllers

PREFACO NV, with registered office at Hoeksken 5A, 9280 Lebbeke, Belgium, and CRH Netherlands, registered at De Klencke 10-12, 1083 HL Amsterdam, the Netherlands, act as joint data controllers for the processing of your personal data in the context of this event.

When you register, we collect the following information:

• First and last name
• Company and job title
• Email address
• Mobile number
• Attendance status (attending / not attending)
• Communication and privacy preferences
• Optional dietary or accessibility information (if applicable)

This data is collected via a secure form and stored with care.

3. Why do we process your data?

We process your data for event-related purposes only:

Before the event

• To manage your registration
• To provide practical event information (agenda, venue, logistics)
• To plan catering, accessibility, and capacity
• To send event reminders or updates

During the event

• For guest list creation and badge printing (not publicly shared)
• To support a curated networking experience
• To ensure compliance with venue safety regulations
• To take photo and video materials for reporting and communication (see section 4)

After the event

• To share key takeaways, photos, and materials
• To provide follow-up content (e.g. recordings, highlights, quotes)
• To send a short feedback survey

4. Photo and video use

Photos and videos may be taken during the event. These may be used by CRH and its partners (including Aerobel and Pubmarket) for:

• Event documentation and evaluation
• Internal newsletters or presentations
• Reporting to project stakeholders (e.g. EU LIFE Programme)

External use

• Posts on social media
• CRH and partner websites
• Brochures, flyers, or aftermovies
• Recaps, blog articles, or other external communications

By registering, you consent to this use. If you prefer not to appear in photos or video, please inform us in writing before the event via info@carbip.eu or notify a staff member on-site. We will make reasonable efforts to accommodate your request.

5. Sharing with third parties

To professionally run this event, your data may be shared with trusted partners:

• Aerobel (project partner in CARBIP)
• Pubmarket (strategic marketing & communication agency)
• Venue staff (e.g. for badge or access control)

These partners are GDPR-compliant and process your data solely for event-related purposes under confidentiality agreements.

6. Data retention

Your data will be retained for a maximum of 1 year after the event, unless you have opted out of further communications or unless legal obligations require a longer retention period.
